Privacy Policy
Last updated: October 14, 2026
1. Overview
Firmatical (“we,” “us,” or “our”) builds websites, funnels, and client-growth systems for accounting and bookkeeping firms (“Clients”). We are a marketing company. We do not provide accounting, tax, or assurance services, and this policy does not apply to any accounting work — we don’t do any. This Privacy Policy explains what information we collect through firmatical.com (the “Site”) and in the course of providing our services, how we use it, and the choices you have.
This policy applies to visitors of our Site, to our Clients and their authorized users, and to the people our Clients reach through the Client Engine (their own clients, referral partners, and leads). It does not cover the privacy practices of third-party platforms, such as Meta, Google, TikTok, or the CRM/automation platform we use to deliver services — those platforms have their own privacy policies.
2. Information We Collect
Information you give us directly
- Contact details submitted through our website forms, a consultation booking, WhatsApp, or email — such as name, business name, email address, and phone number.
- Information you share on a call or during onboarding, such as your firm’s niche, pricing, how your last clients found you, and the business details needed to scope and build your website or funnel.
- Billing and payment details when you engage us for a paid build or the Client Engine. Payments are handled by a third-party payment processor, and we do not store full card numbers.
Information we collect for Client Engine clients
If your firm uses the Client Engine, we collect and process, on your behalf, the contact details and marketing-related activity of your own clients, referral partners, and leads — such as name, email, phone number, and referral or booking activity — strictly to run the referral requests, follow-up messages, and reports described in your engagement. We never ask for, and do not need, access to your accounting software or client financial files.
Information collected automatically
- Usage data such as pages visited, time on page, referring URL, device and browser type, and approximate location (derived from IP address), collected through analytics tools.
- Cookies and similar technologies used for site functionality and analytics (see Section 5).
3. How We Use Your Information
- To respond to inquiries and book a Free Funnel Audit or Startup Plan Call.
- To deliver, manage, and report on the website, funnel, or Client Engine services you’ve engaged us for.
- To send service-related communications, such as build updates, invoices, and your monthly summary.
- With your consent, to send marketing communications, including by text message (see Section 4) — you can opt out at any time.
- To improve our Site and our services.
- To comply with legal obligations and enforce our agreements.
We do not sell your personal information to third parties.
4. Text Message Consent
We send text messages only to people who have affirmatively agreed to receive them. Consent is collected through a checkbox or equivalent wording on the relevant form, separate from any other agreement, and states the purpose of the texts (such as appointment reminders or follow-up on an inquiry), that message and data rates may apply, and how often messages are sent.
Every text we send includes a clear way to opt out (for example, replying STOP), and opting out of texts does not affect any other part of our relationship with you. We do not share your mobile number with third parties for their own marketing purposes.
We send text messages only to people who have agreed to receive them, and every message includes a way to opt out (for example, by replying STOP). We follow the rules that apply to commercial messages, including Canada’s anti-spam law (CASL) and, for recipients in the United States, the Telephone Consumer Protection Act (TCPA).
5. Cookies & Tracking Technologies
Our Site uses cookies and similar technologies for site functionality and analytics, and to measure the performance of our own marketing. Most browsers let you block or delete cookies through their settings; doing so may affect how parts of the Site function.
We use Google Analytics to understand how visitors use this site, which sets cookies and collects information such as pages viewed and device type. You can block or delete cookies in your browser settings, or install Google’s browser add-on to opt out of Google Analytics. You can also contact us at the email below to ask questions about how we use this information.
6. How We Share Information
We share information only as needed to operate our business and deliver our services:
- Service providers who support our operations — for example, our website host, scheduling tool, and the CRM/automation platform we use to run the Client Engine.
- Professional advisors such as accountants or legal counsel, where necessary.
- Legal or safety reasons — if required to comply with a law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Firmatical, our clients, or others.
- Business transfers — if we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
7. Data Retention
We retain personal information for as long as needed to provide our services, maintain business records, and comply with legal, accounting, or reporting obligations. When information is no longer needed for these purposes, we take reasonable steps to delete or anonymize it.
8. Your Rights & Choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of certain uses (such as marketing emails, texts, or the sale/sharing of data). To exercise any of these rights, contact us using the details in Section 12.
Depending on where you live, such as California, the European Union, or the United Kingdom, you may have the right to ask us for access to the personal information we hold about you, to correct or delete it, and to object to or limit certain uses. To make a request, email us at the address below and we will respond within the time required by law. You also have the right to complain to your local privacy regulator.
You can unsubscribe from marketing emails at any time using the link in those emails, opt out of texts by replying STOP, or contact us directly.
9. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect the information we handle. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Children’s Privacy
Our services are intended for businesses and individuals aged 18 and older. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated “Last updated” date at the top of this page. Continued use of the Site after changes are posted constitutes acceptance of the revised policy.
